Telegram Customer Support Bot for Store Buyers

Buyers raise a support ticket straight from your Telegram bot — with photos or videos attached — and your team works it from one dashboard: prioritised, routed to the right country group, with an optional AI first reply drawn from your own knowledge base.

What a Telegram customer support bot actually does

A Telegram customer support bot gives buyers a way to raise a specific issue as a structured ticket, instead of a question getting lost in ordinary chat history. Trapyfy’s version sits inside the same bot your buyers already use to browse and order: a buyer with a question about a delayed parcel, a wrong size or a missing item can open a ticket — with a subject, a priority and a status — rather than sending a message that might go unanswered.

This is the support a merchant gives their own buyers, not a support line from Trapyfy to the merchant. Everything below describes what your team sees and does once a buyer opens a ticket.

TICKET #482
Subject: Parcel not arrived
Priority: High · Status: Active

A ticket, from a buyer's message to a reply

A buyer messages your Telegram store bot to say a parcel has not arrived. Here is what happens on each side of that message.

  • Buyer — opens a support ticket from the bot, describes the issue and attaches a photo of the delivery notice.
  • Trapyfy — creates a ticket with a subject, the buyer’s name, a priority and a status, and lists it in the Tickets area alongside every other open conversation.
  • Your team — opens the ticket from the dashboard and sends a reply from there.
  • Status — once it’s dealt with, the ticket moves out of the active list into the archive.

For how the order itself gets tracked and updated after that, see Telegram order tracking — a workflow your team already uses alongside tickets.

Tickets built around priority and country, not a flat inbox

Everything a ticket carries, and how your team finds the ones that matter first.

Priority on every ticket

Each ticket carries a Low, Medium or High priority, visible in the Tickets list alongside its status, so the ones that matter most don't wait behind routine questions.

Search, filter, act

Find tickets by tag or search, then open, reply or update status straight from the row — no separate tool to jump into.

Active and archived, kept apart

Open conversations stay in Active; everything your team has finished with moves to Archived, so the working list stays a working list.

Route every ticket to the right country team

Support does not have to live in one shared inbox that everyone half-watches. Once a Telegram group is set up for a market, ticket notifications land there instead.

  1. Invite the Trapyfy bot into the Telegram group your team already uses for that market.
  2. Promote it to a visible admin of the group.
  3. Run /ticketing_group add IT (or the relevant country code) so tickets for that market notify the right group.

Notification templates can be scoped by role — admin or user — and by country; leave the country unset and the template applies everywhere. This gets a new ticket in front of the team covering that market faster, without every merchant building a routing rule from scratch. It is a notification route, not automatic case assignment — someone in the group still opens the ticket and takes it from there.

A knowledge base your team writes, not a black box

Automatic replies are only as good as what they’re allowed to say, so Trapyfy starts from a knowledge base your team controls rather than a model guessing at your policies.

Two ways to build it:

  • Generate a first draft — Trapyfy reads your closed tickets and drafts the questions buyers actually asked, with the answers your team gave, for you to review and approve before it’s saved.
  • Write it yourself — the knowledge base is a plain document you can rewrite, add to or delete from at any time.

An empty knowledge base stays empty until you put something in it — and automatic replies stay off until it does. The same buyer history that builds it is what keeps a Telegram CRM record useful over time.

Automatic AI replies, answered from your own data

Turn on Automatic AI replies at the top of the Tickets page and buyers get an instant first answer, pulled from your knowledge base and your live store data — products, stock, shipping, and their own order — not a generic script.

When the assistant cannot answer from what it has, it does not guess and does not go silent: it opens a ticket for your team instead, inside the same Telegram store bot buyers already use. Every automatic reply uses AI credits, and in practice the feature stays quiet until your knowledge base has something to answer from — an empty document produces no automatic replies.

Treat it as a fast first response for the questions your knowledge base already covers, with every other question still reaching a person on your team.

Telegram Customer Support Bot FAQs

Answers about how tickets, country routing, the knowledge base and AI replies work in a Trapyfy Telegram store.

It's the second one. This is the ticketing system a merchant's own team uses to support their buyers inside their Telegram store — Trapyfy's own support to merchants is a separate channel.
